Job Summary

Annapolis Area Christian School (AACS) is seeking an organized, detail-oriented, and collaborative Administrative Assistant to support the Business Office Accounting Department. This newly created position will help establish and manage the school's purchasing and contract administration processes.

The successful candidate will assist with implementing and maintaining the school's Purchase Order (PO) system, processing purchasing requests, coordinating with vendors, tracking contracts, and maintaining accurate records. This is an excellent opportunity for someone with strong administrative skills who enjoys organization, problem-solving, and supporting efficient business operations.

Key Responsibilities 

• Requisition Processing: Review purchase requisitions from internal departments for accuracy, budget compliance, and proper authorization.
• Purchase Orders Execution (POs): Create, process, and issue routine purchase orders based on internal requisitions.
• Vendor Sourcing: Request price quotes, compare vendor bids, and assist in evaluating and choosing potential suppliers.
• Order Tracking: Monitor open orders, track shipments, and follow up with vendors on backorders or delivery delays.
• Invoice Verification: Provide receiving documents and purchase orders to Accounts Payable to facilitate timely payment processing.
• Coordination, Compliance and Review: Ensure contract terms are clearly stated and fully executed by all parties.  Collect and track applicable insurance certificates.
• Lifecycle Management: Track key contract milestones, renewal dates, expiration notices, and deliverables.
• Record Keeping: Maintain centralized physical and digital contract repositories, ensuring files are audit-ready.
• Stakeholder Liaison: Serve as a point of contact for internal departments and external vendors (where applicable) regarding contract interpretations, performance issues, or dispute resolution.

Qualifications & Requirements

• Education: High school diploma required; Associate or Bachelor’s degree in Business, Supply Chain, or related field is preferred. Equivalent professional experience will be accepted.
• Experience: Professional office experience. Familiarity with procurement, purchasing, or contract administration is preferred.
• Technical Skills: Proficiency in Microsoft Office Suite (advanced Excel capabilities preferred); experience with Blackbaud is a plus.
• Core Competencies: Strong attention to detail, excellent written and verbal communication, and ability to communicate and work effectively with individuals across the school community.

A significant emphasis of the position will be financial planning and analysis (FP&A). Key Responsibilities

Strategic & Organizational Leadership

      Partner with the Head of School, business office team, and senior leadership team to advance AACS's mission, strategic plan, and institutional priorities.

      Translate strategic objectives into actionable operational and financial plans.

      Develop systems, processes, and accountability structures that enable the school to operate effectively and sustainably.

      Identify organizational risks and opportunities and provide thoughtful recommendations to school leadership.

Financial Planning & Analysis (FP&A)

• Lead AACS's financial planning and analysis function, ensuring that financial information is used proactively to inform strategic, operational, and capital decisions.
• Develop and maintain multi-year financial models that integrate enrollment, tuition and financial aid, compensation and benefits, staffing, facilities, debt, capital investment, and other key drivers of the school's financial model.
• Build annual and long-range financial forecasts and regularly update projections based on actual performance, enrollment trends, and changing organizational assumptions.
• Conduct budget-to-actual and forecast-to-actual variance analysis, identifying significant trends and providing leadership with clear explanations and recommended actions.
• Develop scenario and sensitivity analyses to evaluate significant strategic decisions, including enrollment changes, tuition strategies, staffing models, compensation investments, capital projects, debt management, and program expansion or contraction.
• Partner with academic and operational leaders to understand the financial implications of their programs, staffing decisions, and strategic priorities.
• Develop meaningful financial and operational KPIs and dashboards that provide the Head of School and senior leadership with timely insight into organizational performance.
• Evaluate the financial sustainability and return on investment of existing and proposed programs and initiatives while recognizing that mission impact, rather than financial return alone, is central to decision-making in a Christian school.
• Provide forward-looking analysis of cash flow, liquidity, reserves, debt capacity, and capital requirements to support responsible long-term financial stewardship.
• Identify emerging financial risks and opportunities early and develop actionable recommendations for the Head of School and senior leadership.
• Translate complex financial data into clear, actionable information for leaders who may not have financial backgrounds.
• Strengthen a culture in which financial planning is integrated with strategic planning rather than functioning primarily as an annual budgeting exercise.

Financial Leadership & Stewardship

      Provide executive oversight, collaboratively with the accounting and business functions, of the school's financial operations. Lead the development of annual and long-range operating and capital budgets in partnership with the Head of School, accounting and business functions, and senior leadership.

      In collaboration with the accounting and business functions, ensure financial resources are deployed strategically to support the school's mission and priorities.

      Provide leadership with timely, accurate, and understandable financial information to support decision-making.

      Maintain strong internal controls and appropriate financial policies and procedures.

      Coordinate relationships with auditors, financial institutions, insurance providers, and other key professional partners as appropriate.

People & Organizational Effectiveness

      Lead, coach, and develop operational and administrative team members within the COO's areas of responsibility.

      Establish clear goals, expectations, and accountability measures.

      Help develop organizational structures and processes that allow employees to perform their work effectively.

      Partner with school leadership and the Human Resources Director on workforce planning, compensation, benefits, policies, and other organizational matters as appropriate.

Risk Management & Compliance

      Provide leadership for institutional risk management, including operational, financial, facilities, safety, and compliance matters.

      Ensure appropriate policies, procedures, insurance coverage, emergency preparedness, and internal controls are maintained.

      Help ensure compliance with applicable laws, regulations, accreditation requirements, and school policies.

      Establish systems to identify and address emerging operational risks.

Leadership & Governance Support

      Provide clear analysis, reporting, and recommendations to the Head of School and, as appropriate, the Board and its committees.

      Prepare financial and operational information that enables effective governance and informed decision-making.

      Participate actively in senior leadership discussions and major institutional initiatives.

      Serve as a trusted advisor to the Head of School on business, operational, organizational, and strategic matters.

Qualifications

The ideal candidate will bring significant leadership experience in operations, finance, administration, or general management. Experience within an independent school, Christian school, nonprofit organization, higher education institution, or similarly complex organization is desirable, though outstanding candidates from other sectors are encouraged to apply.

      A bachelor's degree in business, finance, accounting, organizational leadership, or a related field.

Role Overview

The Girls Varsity Lacrosse Head Coach will lead the varsity program while collaborating closely with the Boys Varsity Lacrosse Head Coach to ensure alignment in philosophy, development standards, and culture across the entire program.

The head coach must demonstrate strong technical lacrosse knowledge, a developmental mindset, and the ability to build meaningful relationships with players and families.

This coach is expected to build and sustain a program, not simply manage a team for a season.

Key Responsibilities

Program Leadership

• Lead and develop the Girls Varsity Lacrosse program

• Establish and maintain a strong culture aligned with the mission of the school

• Collaborate with the Boys Varsity Lacrosse Head Coach and middle school coaches to ensure developmental alignment from grades 6–12, serve as a mentor and role model for middle school coaches

• Build relationships with local clubs and recreational programs to connect our students to

Player Development

  Out-of-Season Commitment

  • Summer Season: June 15 – Aug 15 | Skill Training: 1 day a week, team will lift 2 days a week (coach not required to be present for lift), host a summer camp at AACS

  • Fall/Winter Season: Collaborate with Boys Varsity Head Coach and create programming that aligns with IAAM Off-Season restrictions, including Prospect Days/Clinics/Camps

Our 85-acre Severn campus provides resources designed to support the growth and development of student-athletes, including:

• Indoor turf field house for year-round training

• On-site performance training center and weight room

• On-campus Bermuda grass soccer fields

The school is also working toward the development of a future on-campus stadium.

• Ability to work collaboratively with school administration and other coaches.

Compensation: 

This is a stipend position. Additional opportunities may be available within the school depending on qualifications and openings. 

Cross Country Assistant Coach -- High School

Pre-season practices begin in mid-June and run through mid-August. Our official Fall season runs through the first weekend of November.

Responsibilities

• Attend all practices, meets, and team events

• Assist in leading daily practices. This includes running with the athletes – both beginner and high-level varsity – during practice.

• Help implement Head Coach’s training plans and meet strategies, supporting decisions and policies, and a commitment to elevating the team as a whole.

• Model and promote strong teamwork, sportsmanship, and accountability.

Qualifications

• RRCA Distance Running Coach Level I, USATF Level 1, or comparable certification (or willingness to obtain certification)

• CPR/First Aid certification (or willingness to obtain).

• Prior coaching or competitive running experience preferred.

• Must meet all school employment requirements, including background checks, and align with the AACS Statement of Faith.
